This sophisticated n8n workflow solves this by automatically calculating a dynamic priority score for every lead in your Google Sheet. It combines engagement data and recency of contact to ensure you focus only on the hottest leads. After scoring, this n8n automation filters the list to the top 10 most urgent contacts, calculates the optimal local time to reach them, and immediately creates actionable tasks within ClickUp. This ensures your sales team operates with maximum efficiency. How it Works

The process begins with the n8n trigger, currently set to Manual but easily adaptable to a Schedule n8n trigger for daily runs.


  1. Data Retrieval: The Google Sheets n8n node reads all existing lead records from 'Sheet1'.

  2. Recency Calculation: An n8n function node calculates the exact number of days since the lead was last contacted, saving the result as DaysSinceLastContact.

  3. Priority Scoring: A subsequent function n8n node applies the weighted priority formula (70% Engagement Score, 30% Recency Score) to assign a numerical PriorityScore to each lead.

  4. Sorting and Limiting: The Sort n8n node organizes the leads, and the Limit n8n node selects only the top 10 highest-scoring leads for immediate action.

  5. Time Optimization: A final function n8n node analyzes the lead's timezone and suggests the optimal local time for contact (e.g., 9:30 AM EST), maximizing conversion chances.

  6. Task Creation: The ClickUp n8n node creates a specific, detailed task for each of the top 10 leads in the designated list, ensuring clear accountability.

  7. Data Sync: The n8n workflow concludes by using the Google Sheets n8n node again to update the original data source, marking these leads as 'Queued' and recording their calculated priority metrics.

Installation Guide

To deploy this specific n8n workflow, follow these steps:


  1. Import: Copy the provided JSON and import it directly into your n8n canvas using the 'New' button and 'Import from JSON' option.

  2. Credentials: You must configure credentials for two services. Click on the Google Sheets n8n node ("Read Leads from Sheet") and set up your Google Sheets OAuth2 API credentials. Then, configure your ClickUp API credentials for the "Create ClickUp Task" n8n node.

  3. Sheet Configuration: In the Google Sheets n8n node, ensure the Document ID and Sheet Name match your lead tracker. Verify column headers match the expected keys (e.g., Lead Name, LastContactDate, Engagement_Score, Timezone).
