IT Administrators needing to secure internal automation tools.
Development Teams building complex internal bots that require permissions.
Automation Specialists looking for robust n8n templates for user authentication and authorization.
Users aiming to create highly customized n8n workflow solutions where user identity dictates execution rights.

Overview

When building automated systems, especially those exposed via chat applications like Telegram, security and authorization are paramount. This robust n8n workflow solves the problem of unauthorized command execution by enforcing a multi-tiered RBAC policy.

The system uses an internal n8n data table as a secure 'Employee database' to verify the sender's identity, position (e.g., Marketing, Sales), and specific role (e.g., SEO, SMM). The power of this n8n workflow lies in its dynamic routing capability, ensuring that only authenticated users with the correct permissions can trigger specific subsequent automation tasks. This prevents accidental or malicious execution of high-privilege operations, making this a critical component of secure n8n deployments.

How it Works

This n8n workflow operates through a clearly defined sequence of security checks and flow controls:

  1. Trigger Event: The process begins with the Telegram Trigger n8n node, which activates the flow whenever a new message is received.

  2. Access Verification: The workflow immediately queries the Employee database (an n8n data table) using the Telegram username provided by the n8n trigger. This verifies if the user is registered and retrieves their designated Position and Type (Role).

  3. Level 1 Routing (Position): The Choose Position n8n node (a Switch node) acts as the first gatekeeper. It checks the user's Position (e.g., Marketing, Sales, Administration) and routes the execution down the appropriate branch.

  4. Level 2 Routing (Role): For complex departments (e.g., Marketing branch), a second Switch n8n node performs granular role checking, utilizing the user's Type (e.g., Target, SEO, SMM).

  5. Execution: Each terminal branch leads to a specific action (represented by 'No Operation' nodes). For instance, the 'SEO' role branch would proceed to execute SEO-related tasks, while the 'SMM' branch executes social media tasks. Unverified users or invalid roles are halted or routed to an inactive branch. This structured approach makes the n8n workflow highly scalable.

Installation Guide

To utilize this security-focused n8n workflow, follow these steps:

  1. Import the n8n Workflow: Copy the provided JSON data and import it directly into your self-hosted or cloud n8n instance.

  2. Configure Telegram Credentials: Set up the credentials for the Telegram Trigger n8n node so it can listen for incoming commands.

  3. Prepare the Data Table: You must create an n8n Data Table named 'Employee database' (or ensure the ID 59g2BfS1TctO7gzg is mapped correctly).

This table must contain the columns: UserName, Position, and Type.
Populate this table with your users' Telegram usernames and their corresponding roles.

  1. Link the Data Table: In the Employee database n8n node, ensure the correct Data Table ID is selected.

  2. Customize Actions: Replace the placeholder 'No Operation' n8n node steps with the actual privileged actions or sub-workflows intended for each specific role (e.g., update a Google Sheet for Sales, run an OpenAI agent for SEO).

  3. Activate: Save and activate the n8n template.

Node Details

This n8n workflow relies heavily on flow control and data lookups:

Telegram Trigger: This is the starting n8n trigger. It initiates the workflow upon receiving any Telegram message, capturing the sender's username.
Employee database (Data Table n8n node): Function: Performs an RBAC lookup. It uses the incoming Telegram username to fetch the associated Position and Type from the internal n8n data table. This is crucial for access control.
Choose Position (Switch n8n node): Function: The first level of access routing. It checks the user's Position field and directs the flow (e.g., to Marketing, Sales, or Administration branches).
Switch (Role Check n8n node): Function: The second level of access routing, typically used within specific departments (like Marketing). It checks the user's Type (Role) field to grant permissions for granular tasks (e.g., Target, SEO, SMM).

  • No Operation, do nothing (n8n node): Function: Used as a placeholder for final, role-specific actions. These nodes should be replaced by the actual tasks your n8n workflow needs to execute for that authorized role.
