Overview

Maintaining up-to-date documentation is crucial for SDK adoption, but manual tracking of releases versus FAQ updates is prone to error and delay. This robust n8n workflow solves the documentation drift problem by creating a fully automated monitoring pipeline. Using an n8n trigger on GitHub releases, the system automatically logs the event to Google Sheets, fetches corresponding documentation status from Notion, calculates the lag, and flags items exceeding a 30-day drift threshold. This powerful n8n automation provides instant visibility, ensuring your team is alerted immediately when documentation falls behind the latest SDK release. This specific n8n workflow helps maintain high standards for technical content lifecycle management and serves as an excellent example of advanced n8n templates.

How it Works

The entire n8n workflow initiates using a specialized n8n trigger: the GitHub Trigger, listening for new repository release events.

  1. Initiation and Fetch: The n8n trigger starts the process. The GitHub n8n node retrieves all available releases for the specified repository.

  2. Data Preparation: An Edit Fields n8n node (Set node) standardizes the release data, calculates the "Days Since Release," and prepares the structure for logging.

  3. Logging and Context: The prepared release data is logged to Google Sheets. Simultaneously, the Notion n8n node fetches the last update dates for all related documentation pages.

  4. Merging Data: A Merge n8n node combines the logged release data from Google Sheets (which now contains all historical release information) with the latest update context from Notion.

  5. Drift Calculation: A critical Function n8n node executes custom JavaScript logic to compare the GitHub release date against the Notion FAQ update date. If the documentation lag exceeds 30 days, the item's status is set to "OVERDUE." This is a core function of this n8n workflow.

  6. Reporting & Filtering: The resulting drift status is written back to Google Sheets using another Google Sheets n8n node for persistent reporting. An If n8n node (Filter Overdue SDKs) checks specifically for the "OVERDUE" status.

  7. Alerting: If the condition is met, the Slack n8n node sends a detailed alert message, ensuring the DevRel or Technical Writing team addresses the documentation gap immediately. This sophisticated automation shows the power of custom n8n templates.

Installation Guide

  1. Import the n8n Workflow: Copy the provided n8n workflow JSON and paste it into your n8n instance using the "Import from JSON" option.

  2. GitHub Credentials: Configure the GitHub n8n node and the n8n trigger using your OAuth2 credentials. Ensure you replace the placeholder repository and owner names with your actual SDK repository details.

  3. Google Sheets Setup: Create a new Google Sheet for tracking. Set up Google Sheets OAuth2 credentials. Replace YOURGOOGLESHEETID and YOURSHEETGID in both Google Sheets n8n node instances with your sheet identifiers.

  4. Notion Setup: Obtain a Notion integration token and the ID of your FAQ/Documentation database. Configure the Notion n8n node and replace YOURNOTIONDATABASEID.

  5. Slack Setup: Connect your Slack account. Configure the Slack n8n node, ensuring you replace YOURSLACKCHANNEL_ID so that alerts reach the correct team channel.

  6. Activate: Save and activate the n8n workflow. The n8n trigger is now active and ready to monitor new GitHub releases.

Node Details

Github Trigger (n8n trigger): The initial n8n trigger configured to watch repository events for new releases, starting the n8n workflow.
GitHub Fetch Releases (n8n node): Fetches the complete list of releases from the specified SDK repository using the Get All operation.
Edit Fields (n8n node): A Set node used for data transformation. It extracts key release metadata and calculates the initial Days Since Release using expressions, preparing the data structure for logging.
Google Sheets Log Release Data (n8n node): Appends the new release data to the designated Google Sheets tracking document.
Notion Fetch FAQ Data (n8n node): Retrieves all pages from the target Notion database containing the documentation and FAQ details, specifically extracting update dates.
Merge (n8n node): Combines the stream of release logs from Google Sheets and documentation updates from Notion, matching corresponding records for analysis.
Function Compute Drift (n8n node): This Code n8n node is the engine of the workflow. It runs custom JavaScript to calculate the actual documentation drift (lag time) and determines the OVERDUE status based on a 30-day threshold.
Google Sheets Update Drift Status (n8n node): Appends the calculated drift metrics and Overdue Status back to the tracking sheet for historical reporting.
Filter Overdue SDKs (n8n node): An If n8n node that acts as flow control, forwarding items only if the calculated status is exactly OVERDUE.
Slack Post Alerts (n8n node): Sends formatted, actionable alert notifications containing the SDK name, drift days, and release URL to the specified Slack channel.
