This specific n8n workflow solves the problem of manual task review by automating a comprehensive weekly report delivered straight to your inbox. This n8n automation fetches all relevant tasks, strategically filters out items without deadlines, sorts them by urgency, and splits them into two clear categories: tasks that are overdue and tasks that are upcoming. Using several key n8n node types, it constructs a clean, formatted HTML email containing all critical task details. Furthermore, it utilizes a Pushover integration to ensure you receive an immediate mobile alert, making this n8n workflow a highly effective productivity tool. How it Works

This n8n workflow initiates every Monday morning at 9 AM, configured using the dedicated n8n trigger node, the Schedule Trigger.


  1. Initialization: The n8n trigger fires, and the 'Set Workflow vars' n8n node configures variables like the recipient email and Pushover key.

  2. Data Retrieval: The 'Notion' n8n node queries the specified Notion database, retrieving task entries.

  3. Filtering and Sorting: The 'Filter for deadline' n8n node ensures only items with defined deadlines proceed. These items are then ordered by urgency using the 'Sort by closest deadline' n8n node.

  4. HTML Snippet Generation: The 'HTML for Task' n8n node iterates through the sorted list, creating a detailed HTML block for each individual task.

  5. Conditional Split: The 'If deadline is overdue' n8n node uses logic (checking if the deadline is before $now) to route tasks into two distinct streams: 'overdue' (True) and 'due to' (False).

  6. Grouping: Tasks are aggregated into their respective lists ('Aggregate overdue tasks' and 'Aggregate due to tasks'). Each group is converted into a formatted list using dedicated HTML n8n node instances.

  7. Merging & Finalization: The two lists are merged back together. The final 'HTML' n8n node assembles the full email body, incorporating branding, a link back to the Notion database, and the generated task lists.

  8. Delivery: The 'Send Email' n8n node delivers the weekly digest, and simultaneously, the 'Pushover' n8n node sends a mobile push notification confirming the update.

Installation Guide

To deploy this n8n workflow template, follow these steps:


  1. Import: Copy the provided n8n workflow JSON and paste it into your n8n instance using the 'Import Workflow' option.

  2. Notion Setup: Locate the 'Notion' n8n node. You must set up a credential connection to your Notion workspace and specify the Database ID from which tasks should be read.

  3. SMTP/Email Setup: Configure the 'Send Email' n8n node with your SMTP credentials to ensure emails can be sent from your server. Update the fromEmail parameter.

  4. Pushover Setup: Configure the 'Pushover' n8n node with your Pushover API credentials.

  5. Variable Configuration: Crucially, open the 'Set Workflow vars' n8n node and update the placeholder values for youremail, pushoveruserkey, and the notiondatabase_url to match your environment.

  6. Activation: Ensure the n8n trigger ('Schedule Trigger') is active and save the n8n workflow to enable scheduled execution.

Node Details


  • Schedule Trigger (n8n trigger): Sets the automation to run every week on Monday at 9 AM. This is the primary n8n trigger for the automated report.

  • Set Workflow vars (Set n8n node): A configuration point for essential workflow variables such as the recipient email address, Pushover key, and the URL to the source Notion database.

  • Notion (n8n node): Fetches all database pages (tasks) from the linked Notion database. Note: It is recommended to add a filter here (as suggested in the sticky note) to exclude 'Done' or 'Closed' tasks.

  • Filter for deadline (Filter n8n node): Filters the Notion data, retaining only items where the 'deadline' property exists. This ensures irrelevant items are excluded.

  • Sort by closest deadline (Sort n8n node): Orders the remaining tasks based on the deadline date (property_deadline.start), ensuring the most urgent tasks appear first in the report.

  • If deadline is overdue (If n8n node): A core logic n8n node that compares the task deadline against the current time ($now) to determine if the task is overdue or still upcoming.

  • Aggregate (n8n node): Used multiple times ('Aggregate overdue tasks', 'Aggregate due to tasks', 'Aggregate') to collect disparate items into a single JSON array, which is necessary before generating the final merged HTML.

  • HTML for Task (HTML n8n node): Generates small, reusable HTML snippets for each task, detailing its name, deadline (formatted dd.MM.yyyy), priority, status, and tags.

  • HTML (n8n node): Assembles the final, complete HTML structure for the email using the aggregated task lists and incorporating custom CSS styles for professional presentation.

  • Send Email (EmailSend n8n node): Executes the main action, sending the fully rendered HTML email digest using configured SMTP credentials.

  • Pushover (n8n node): Sends an immediate, high-priority push notification to the user's mobile device, serving as a secondary alert generated by this n8n workflow.
