Overview

This powerful n8n workflow addresses the manual bottleneck in generating client-specific sales presentations. Starting from a simple web form submission containing a meeting transcript URL, the automation leverages AI agents (using an n8n node) to deeply analyze the conversation, identify client pain points, and map them to a solution (NimbusSoft, in this template's example). The resulting presentation plan then fuels two parallel processes: content insertion and custom image generation. This entire process is orchestrated through an n8n template, providing a scalable, error-resistant, and high-speed method for creating personalized, high-quality sales materials, significantly reducing preparation time.

How it Works

This comprehensive n8n automation operates in five distinct phases, using Google Sheets as a central database and queuing system.

1. Presentation Setup and Initialization (Trigger)

An n8n trigger, specifically the 'On form submission' n8n node, starts the process by collecting the 'Client Name' and 'Meeting transcript URL'. An HTTP Request node copies a master Google Slides template, naming the new presentation dynamically. This new presentation's details (ID, URL) and the transcript link are logged into a Google Sheets database (the 'Presentation Details' sheet) with the initial status set to 'PPT Plan Pending'. A Wait node pauses the current execution thread, allowing the subsequent phase (which runs as a separate, scheduled workflow usually) to pick up the task.

2. AI Presentation Plan Generation

Another part of the n8n workflow routinely checks Google Sheets for entries marked 'PPT Plan Pending'. It retrieves the meeting transcript content using the Google Docs n8n node. An AI Agent n8n node analyzes the transcript against a detailed system message (acting as a Sales Presentation Generator) to create a structured 9-slide presentation plan. This plan is saved to a new Google Doc via the Google Docs n8n node and the status in Google Sheets is updated to 'Images Pending', triggering the next stage.

3. Custom Illustration Generation

The flow retrieves the detailed presentation plan. An 'Illustrations & Image Prompt Agent' n8n node extracts highly specific visual descriptions needed for the slides (Slides 3-8) and converts them into structured image prompts (using a Structured Output Parser). Multiple HTTP Request n8n node steps use OpenRouter (leveraging the Gemini model for image generation) to create illustrations based on these prompts. These images are processed by Set and Convert to File n8n nodes, uploaded to Google Drive, and their URLs are recorded in the 'Images & Illustrations' Google Sheets tab. The main status is then set to 'Editing Pending'.

4. Text Content Insertion

The workflow now retrieves the presentation details, transcript, and the presentation plan. A 'Final Text Content Formatting' AI Agent refines the plan into concise bullet points suitable for a slide deck. A crucial Code n8n node uses JavaScript to meticulously parse and flatten the complex JSON output, making it ready for insertion. The Google Slides n8n node performs bulk text replacement on the template placeholders, filling every text box on the slides with the AI-generated, customized content. The status is updated to 'Image Update Pending'.

5. Image Replacement (Finalizing the PPT)

In the final stage, the workflow retrieves all necessary data, including the IDs of the generated images from Google Drive. Since Google Slides API often requires direct image URLs (which Drive links aren't always suitable for), the n8n workflow downloads each image from Drive, converts it to base64, and uploads it to Imgbb using an HTTP Request n8n node to obtain a public, direct image URL. Finally, several HTTP Request n8n nodes use the Google Slides API's batchUpdate method to replace the image placeholders on the slides with the custom AI-generated illustrations. The process concludes by setting the status in Google Sheets to 'Completed'.

Installation Guide

To deploy this powerful n8n workflow template, follow these steps:

  1. Import the n8n Workflow: Copy the provided JSON and import it directly into your n8n instance.

  2. Google Workspace Setup: You will need to set up three credentials for Google: Google Drive (for copying the presentation template and uploading images), Google Sheets (for the database), and Google Docs/Slides (for reading the transcript and editing the presentation).

  3. Database Template: Create a copy of the Google Sheets database and the Google Slides presentation template linked in the workflow's sticky notes. Update the Document IDs, Sheet Names, and Template IDs (especially in the 'Create Presentation' HTTP Request n8n node) within your imported n8n workflow.

  4. AI Service Credentials: Establish credentials for the AI services:

OpenAI/Gemini: Set up credentials for the Language Model nodes.
OpenRouter: The image generation portion uses an HTTP Request n8n node targeting OpenRouter. Replace the [api_key] placeholder in the Authorization header of the 'HTTP Request' image generation nodes with your OpenRouter API key.
* Imgbb: Obtain a free API key from Imgbb and replace the placeholder key in all 'Upload to Imgbb' HTTP Request n8n node steps.

  1. Activate Triggers: Ensure the 'On form submission' n8n trigger is active. Additionally, the subsequent phases use Webhook-based Wait n8n node steps, meaning you will need a separate, scheduled n8n workflow or dedicated queue management to process the pending tasks based on the 'Status' column in Google Sheets. (This template assumes a secondary polling mechanism or separate workflows for the queuing sections starting at 'Wait', 'Wait1', 'Wait2', and 'Wait3'.)

Node Details

The core functionality of this n8n workflow relies on integrating advanced AI capabilities with standard cloud office tools:

On form submission (n8n trigger):
Function: Serves as the primary entry point, collecting essential data (Client Name, Transcript URL).
Key Configuration: Webhook-based trigger to initiate the entire process.
Google Sheets node:
Function: Used extensively for centralized data management, tracking presentation status ('PPT Plan Pending', 'Images Pending', 'Completed'), and queuing subsequent tasks.
Key Configuration: Operations include appendOrUpdate and get row(s) with specific filters based on the Status column.
Generate Presentation Plan (AI Agent n8n node):
Function: Reads the raw meeting transcript and applies a detailed, proprietary system prompt to generate a highly structured 9-slide content plan optimized for a sales proposal.
Key Configuration: Uses a Language Model (GPT-4 or Gemini via the connector) and a highly customized systemMessage defining the output structure, persona, and content requirements.
HTTP Request node (Image Generation - OpenRouter):
Function: Executes the external API calls to generate custom visual assets based on prompts extracted from the presentation plan.
Key Configuration: Targets the OpenRouter API endpoint, utilizing the google/gemini-2.5-flash-image-preview model for image creation.
HTTP Request node (Image Replacement - Google Slides API):
Function: Performs the critical step of replacing image placeholders within the Google Slide deck using direct Google API calls, which is necessary for complex image insertion based on Object IDs.
Key Configuration: Uses a POST request to the batchUpdate endpoint of the Slides API, targeting specific imageObjectId placeholders.
Convert to Base64 / Upload to Imgbb (n8n node sequence):
Function: A workaround for Google Slides image requirements. The Google Drive file is downloaded, converted to Base64, uploaded to Imgbb (via an HTTP Request n8n node) to obtain a stable, public URL, which is then fed into the Slides API for successful insertion.
Code node:
Function: Cleans, formats, and restructures the JSON output from the 'Final Text Content Formatting' AI Agent, ensuring the data is perfectly aligned for bulk text replacement by the Google Slides n8n node.
Wait n8n node:
* Function: Introduces necessary pauses and effectively acts as a workflow queue, relying on external mechanisms (like a scheduler or another n8n workflow) to restart the subsequent processing stages based on the status in Google Sheets. This pattern is common in complex, long-running n8n templates.
