Overview

Manually managing quote requests—checking forms, transcribing data into a CRM, notifying sales, and sending confirmations—is tedious and slow. This specialized n8n workflow eliminates that manual burden entirely.

Starting with a Tally form submission, the entire process is digitized. The core value of this n8n automation is instantaneous data management (logging to Airtable) combined with swift internal communication (Slack notification), while maintaining excellent customer experience through a personalized, yet automated, Gmail response. By using the Wait n8n node, the confirmation email is strategically delayed, allowing the team a brief window to potentially respond manually, ensuring the automation enhances, rather than dictates, customer interaction. This is a perfect example of efficient crmsalesops using pre-built n8n templates.

How it Works

This comprehensive n8n workflow executes six main steps upon receiving a new quote request:

  1. Trigger: The process is initiated by the Webhook : Tally n8n trigger, which listens for a new submission on the specified Tally form path (/Request a Quote).

  2. Data Extraction: The incoming data is raw and needs structuring. The Edit Fields (Set n8n node) parses the complex Tally webhook payload array and extracts key fields (Name, Email, Service, Budget, etc.) into easily accessible variables for subsequent n8n nodes.

  3. CRM Logging: The Create a record Airtable n8n node immediately logs all extracted data into the designated lead tracking database, ensuring no lead is ever missed.

  4. Team Alert: The successful record creation triggers the Send a message Slack n8n node, which formats a clean, comprehensive notification for the sales team, including all details about the new lead.

  5. Strategic Delay: The Wait n8n node pauses the n8n workflow execution for 5 minutes. This deliberate delay ensures the confirmation email is not instantaneous, providing a crucial buffer time for a human sales rep to potentially jump in first.

  6. Client Confirmation: Finally, the GMAIL : Send a message n8n node sends a personalized, professional thank-you email back to the client, confirming receipt of their quote request and setting expectations for the next steps.

Installation Guide

To deploy this powerful n8n workflow, follow these steps:

  1. Import the n8n workflow: Copy the provided JSON data and paste it into your n8n instance using the 'New' -> 'Import from JSON' function.

  2. Tally Webhook Setup: In the Webhook : Tally n8n trigger node, copy the generated webhook URL. In your Tally form settings, configure a webhook integration to POST data to this URL upon submission.

  3. Airtable Credentials: Update the Create a record n8n node with your specific Airtable Base ID, Table ID, and relevant credentials (Personal Access Token).

  4. Slack Credentials: Update the Send a message Slack n8n node with your OAuth2 credentials and specify the target channel ID where alerts should be sent.

  5. Gmail Credentials: Update the GMAIL : Send a message n8n node with your Gmail OAuth2 credentials. The body and subject are pre-configured to use the variables mapped earlier in the n8n workflow.

  6. Activate: Save and activate the n8n workflow to start automating your quote requests.

Node Details

Webhook : Tally (n8n trigger): This is the starting point, acting as the primary n8n trigger. It listens for a POST request on the path /Request a Quote from a Tally form submission.
Edit Fields (Set node): Crucial for data preparation. It transforms the nested array structure of the Tally input into clear variables (e.g., Name, Email Address) using manual expression mapping, making the data accessible to every downstream n8n node.
Create a record (Airtable node): Functionally logs the lead data. Key Configuration includes specifying the Base and Table, and defining column mapping based on the variables set in the previous n8n node (e.g., Name maps to the Name column).
Send a message (Slack node): Handles immediate internal communication. It uses data extracted from the Airtable output to construct a detailed, emoji-rich notification for the specified team channel.
Wait (n8n node): Implements flow control by delaying execution for a fixed interval (5 minutes), ensuring the workflow respects potential manual sales efforts before automating the final step.
GMAIL : Send a message (Gmail node): Sends the automated confirmation email. It dynamically addresses the client using expressions referencing the data extracted by the Edit Fields n8n node, ensuring personalization (To: {{ $('Edit Fields').item.json['Email Address'] }}).
